Privacy Policy

Check Take Home Pay is a service of Sharp Studios Ltd, registered in England and Wales, company number 15591412. In this policy "we" and "us" mean Sharp Studios Ltd.

1. Calculations

The calculator on this site runs in your browser: what you type is not sent to us. The API's inputs are pay amounts and options such as a tax code or student loan plan, and it needs no names or contact details. The API doesn't store what you send. Our hosting provider (Fly.io) handles each request, its address and the caller's IP address, to deliver it.

2. Contact form and support

When you write to us through the contact form we receive your name, email, company if you give it, and your message, by email. A support message from your dashboard comes the same way, with your account's id and any failed calls you attach (when each happened, its status and request id). The topic and your email also go to our founder as a short alert.

  • Lawful basis: legitimate interests (replying to you), or steps you asked for before a contract.
  • Retention: as long as we need to reply and follow up; we delete the email and the alert by hand within 12 months.
  • Recipients: Resend (email delivery) and Telegram (the alert).

3. Accounts

When you create an account, we keep your email, your sign-in details (a password, if you set one, only as a one-way hash), your API keys (as one-way hashes), your plan and usage counts, a log of your API calls (the endpoint, time, status and duration, never what you sent or got back), and billing details through Stripe. In your first month we may send a few emails to help you get started, each with a link to stop them.

When you ask for a sign-in email, we keep the address for 30 days even if you never use the email, to limit how many we send to it and, if you never sign in, to send one reminder a day later (the only one).

  • Lawful basis: performing our contract with you, and legitimate interests (security and accounting).
  • Retention: while your account is open, except the call log, whose entries are deleted after 13 months; billing records for 7 years after the account closes, as HMRC requires.
  • Recipients: Neon (database, London), Stripe (payments), Fly.io (hosting, London), Cloudflare (this website), Resend (email), and PostHog (product analytics, in the EU: your account's id and steps such as its first calculation or plan, never your email or what you calculate), and Telegram (alerts to us about sign-ups and steps such as a first calculation or a plan, with your email).

4. Analytics

We count page views and clicks on this website with PostHog, in the EU. It keeps nothing on your device and never records what you type or your screen. When you sign up, the anonymous visit is joined to your account, so we can see which pages lead to sign-ups.

Each event carries your IP address, which PostHog uses to tell the country and town, then discards: the address itself is not kept. We also count requests from AI crawlers and assistants (by the user agent they send) and for the files written for them (llms.txt and the Markdown copies of pages), with the network the request came from (the address less its last part), never the full address of anyone but a crawler whose address its company publishes.

  • Lawful basis: legitimate interests (understanding what brings people to the service and where they get stuck).
  • Retention: while the counts help us run the service; they are deleted with the PostHog project when we stop using it. The joined account is identified only by its id, never your email.

5. Cookies

See the cookies notice.

6. Where data is processed

In the UK and the EEA, except: Resend (email) and Cloudflare (this website), which may process data in the United States, Stripe (payments, once accounts open) likewise, and Telegram (our alerts about contact form messages and accounts), which may process it outside the UK and EEA. Each transfer relies on the UK's international data transfer safeguards.

7. Your rights

You can ask for access to, correction of or deletion of your personal data, and object to or restrict how we use it. Write to [email protected]. You can also complain to the Information Commissioner's Office (ico.org.uk).
